Grading & Results

How scores become published results

Follow one term’s marks all the way through the platform — from a subject teacher setting an assignment to a parent opening the published report card, and finally the end-of-session promotion decision. Every screen below is the real application, live with sample school data. Each role only ever does its own part; the platform carries the numbers between them and does the arithmetic.

Step 1 · Subject teacher

Set the work and mark it

Everything starts in the classroom. The subject teacher sets assignments, marks what comes in, and keeps a running gradebook — the continuous assessment that later rolls up into the term result.

1

Set and track assignments

From the assignments workspace the teacher creates a task for a class — title, instructions, due date and maximum score — and publishes it to students. Every assignment then sits in one list with its status and how many submissions are in versus outstanding.

Attach a brief, files or a marking rubric
Set the maximum score, weighting and due date
Choose whether grades release to students automatically
Submitted vs pending at a glance, filtered by subject and term
2

Mark a submission

Opening a student’s submission, the teacher reads the work, scores it against the maximum (or the rubric) and leaves feedback. The score saves to that student straight away.

Score against the maximum or a rubric
Leave written feedback for the student
Work through the class submission by submission
3

The gradebook

Assignment scores land in the gradebook automatically, beside manually entered marks (tests, classwork, exams). Column and overall totals compute the moment a score is entered — no spreadsheet, no re-keying.

Auto-filled assignment columns sit beside manual test/exam columns
Weighted totals recalculate on every entry
Add custom assessment columns as the term needs them
Step 2 · Student

The student does the work

On the other side of the same assignment, the student sees what is due, submits their work, and — once the teacher releases it — sees the grade. No paper changes hands.

1

See what’s due

The student’s assignments page lists everything set for them with due dates and status, so nothing is missed.

Pending, submitted, graded and overdue at a glance
Due dates and maximum scores per task
2

Submit the assignment

The student opens a task, writes or attaches their answer and submits before the deadline. It goes straight to the subject teacher’s marking queue.

Attach files or type a response
Submit before the due date
Late submissions are flagged for the teacher
3

See the released grade

Once the teacher releases marks, the student sees their score and feedback here — and, at term’s end, the full published result.

Step 3 · Subject teacher

Send the subject up to the form teacher

At the end of term the subject teacher submits each subject from the gradebook. Nothing is retyped — the assessment and exam columns already there become the subject’s contribution, and each subject is computed as it is sent.

1

Publish the subject’s results

From the same gradebook the teacher submits the finalised subject to the form teacher. The platform totals and grades each student for that subject and places it in the form teacher’s queue.

Submit a subject once its columns are complete
Totals and letter grades computed on submit
Each subject reaches the form teacher independently
Step 4 · Form teacher

Compile the class result

The form teacher owns the class report. Subjects arrive one by one; the form teacher accepts each, watches the broadsheet build, then adds the parts only they own — psychomotor ratings and personal remarks — before sending the whole thing up for approval.

1

Accept incoming subjects

Each submitted subject lands in a queue on the broadsheet. As the form teacher accepts a subject it merges into the class broadsheet, and every student’s aggregate, average and position recompute automatically.

Accept or reject each subject as it arrives
The broadsheet — every student × every subject — builds live
Positions and averages recalculate on every accepted subject
2

Add psychomotor ratings & remarks

The form teacher rates the affective and psychomotor traits — punctuality, teamwork, handwriting — and writes a personal remark for each student: the human layer a gradebook can’t compute.

Rate psychomotor and behavioural traits per student
Write an individual form-teacher remark
Apply a template across the class, then fine-tune
3

Forward for approval

With every subject accepted and the report complete, the form teacher submits the class result to the school office — previewed against the report-card template first.

Preview each student’s result on the report-card template
Confirm the class is complete before sending
Submit to the academics office for approval
Step 5 · School office

Approve and publish

The academics office is the gate before families. An administrator reviews the submitted class result, checks it against the template, and publishes — only then does it become visible on the student and parent portals.

1

Review & publish the result

Submitted class results queue for the office. The administrator opens one, previews every student’s report card, and approves & publishes in one action — or returns it with a note.

Review each submitted class result in the queue
Preview against the school’s report-card template
Publish to release results, or return for correction
Step 6 · Parents & students

Families open the report card

The moment a result is published it appears for the people it’s for. Parents see it on the ward’s portal; students see the same on theirs. No emails, no printed sheets to hand out.

1

The parent’s (and student’s) view

A parent opens the published result for their ward — scores, grades, class average and position, the form teacher’s remark — exactly as approved. The student sees the identical report on their own Grades page.

Every published term result per ward
Subject scores, grades, average, position and remarks
Downloadable, and mirrored on the student portal
Step 7 · School office

Decide who moves up

At the end of the session the whole year’s results feed the promotion decision. The office sets the rules once; the platform applies them to every student and shows who is promoted, repeating or on review — with the reason.

1

Set the promotion rules

The administrator defines the conditions for moving up — a pass average, must-pass core subjects, attendance thresholds — as reusable rules per grade.

Threshold averages and must-pass subjects
Attendance and other conditions
Saved per grade and reused each session
2

Run promotions & see outcomes

The office runs the session’s results through the rules. Every student is sorted into promoted, repeat or review with the condition that decided it, ready to confirm and publish.

Each student evaluated against the rules automatically
Passed, failed and borderline shown with the deciding reason
Confirm the batch to record and publish the outcome
Step 8 · Parents & students

Families see the outcome

Just like results, a published promotion outcome surfaces on the family portals — the student’s next class, or the reason they’re repeating, in plain sight.

1

The promotion result

The parent sees whether their ward was promoted and to which class, or the condition they missed — the same outcome the student sees on their own portal.

Promoted, repeating or under review, per ward
