Schools Group

A head office above your schools: every campus side by side, a school opened only on the record, one standard applied everywhere, one wallet that funds the schools you choose, and colleagues and pupils who move between campuses without starting again.

What the group pays

  • A group of one schoolFree
  • 2 to 3 member schools₦30,000.00 per school a month · ₦1,000.00 a day, metered daily
  • 4 to 10 member schools₦27,000.00 per school a month · ₦900.00 a day, metered daily
  • 11 or more member schools₦24,000.00 per school a month · ₦800.00 a day, metered daily

Every school pays the rate for the group’s size, charged each day to the group’s own prepaid wallet. Each school keeps paying its own modules from its own wallet; the group may fund any of them.

What it is

Schools Group is for the people who run more than one school: a proprietor with a second campus, a trust, a diocese, a chain. It is not a module a school switches on. A group is a record of its own, above the schools, with its own portal, its own team and its own wallet, and each school joins it by consent from its own settings.

Head office sees every member school on one page, from a nightly snapshot of the same headline figures, and never a register of pupils or staff. When somebody at head office needs to act inside a school, they open it with the reach their group role carries, for a few hours, and the school sees the session and every action in its own activity feed.

Standards are written once. A grading scale, a calendar, fee categories or the school’s branding can be published as a version and bound to each school: locked, as a starting point the school may change, or as a suggestion. Money works the same way: the group tops up its own wallet and funds any school from it, by hand or by a nightly policy, while every school keeps paying its own modules exactly as before.

What you get

Every school, side by side

Pupils, staff, attendance, credit runway and open items for every member school on one page, sorted so the schools that need a look come first.

Inside a school, on the record

No logins at every campus. A head office member opens a school with their role’s reach for a few hours, and the school sees who, when and what.

One standard, every campus

Publish a grading scale, calendar, fee structure or brand once and bind each school: locked, default or suggested. Drift is reported every night.

One wallet for the group

Top up once and fund any school from it, by hand or with a policy that keeps its runway at a target within a monthly cap.

People move, records follow

A teacher moves campus on the same account with both jobs on their professional record; a pupil moves with their guardians and no claim code.

The final say, one order, one form

Approvals above a threshold wait for head office, one purchase order is split into each school’s stock, and families apply to the group once.

Head office, on the real application

Four stops from the Head Office portal, each one the live screen with sample data: the estate, a school opened on the record, one standard bound to every campus, and the wallet that funds them.

Stop 1 · Head office

Every school, side by side

Signed in at head office. The estate is the reason a group exists: the same headline figures for every member school on one page, taken from a nightly snapshot rather than by reaching into fifty schools at once, and sorted so the schools that need a look come first.

1

The estate

Pupils, staff, attendance today, credit runway and open attention items for every school, with the exceptions called out on the row: a short runway, stale figures, setup blocking a module. The schools with exceptions sort to the top.

Filter by standing, region, funding mode, template status, or exceptions only.
Every figure carries the date of its snapshot.
Refresh one school on demand, once an hour.
2

One school, from head office

Open a row and the summary is everything head office may know about that school: its figures, where its open items sit by module, the group standards it is bound to and where it stands on each, how it is funded, its named office holders, and who from head office has been inside.

Standards: each template, its mode, and whether the school is current, behind or overridden.
Funding: self-funded or funded by the group, the target runway and this month’s allocation.
No named pupil or member of staff appears anywhere on this page.

Stop 2 · Opening a school

Inside a school, on the record

Nobody at head office gets a login at every school. A member opens a school from the estate with the reach their group role carries, for at most eight hours, and a banner inside the school says whose session it is. Every action lands in the school’s own trail with the group named beside it.

1

The entry log

Every session a head office member has opened: who, which school, with what reach, when it ended and how many actions it took. This is the page a proprietor shows a principal who asks who looked.

Sessions end on their own, on “Back to group”, or the moment the school leaves.
A finance director’s reach is finance; an executive’s is the whole school.
The school sees the same sessions in its activity feed.

See this on your own school’s data.

Stop 3 · One standard

Set once, applied everywhere

A grading scale, a calendar, fee categories, branding: head office writes the standard once, publishes it as a version, and binds each school in one of three modes. Locked schools take it and cannot change it; default schools start from it and may override; suggested schools see it and decide.

1

Bind the schools

One row per member school, with its mode, the version it runs and whether it is current. A locked row can leave named sections to the school, and escalating a school from default to locked gives it seven days’ notice first.

Locked, default or suggested, per school.
A school already on default is told at once and locked a week later.
The group never writes a school’s tables; each school’s own service applies the version.
2

Where it applied

Every application of every version, per school: applied, deferred to the next term, skipped, or failed with the school’s own reason. Nothing silently half-applies.

Term-anchored standards wait for each school’s own next term.
A failure names the reason and holds that school, not the others.

Set this up for your team.

Stop 4 · One wallet

Head office pays for the schools it chooses

The group has its own prepaid wallet. Head office tops it up once and funds any member school from it: by hand, or with a policy that keeps a school’s runway at a target every night, within a monthly cap. Each school still pays its own daily charges from its own wallet, so its statement and its standing work exactly as before.

1

Who is funded

One row per member school: self-funded or funded by the group, the target runway, the monthly cap, what has gone out this month, and the school’s runway now.

A school in another currency cannot be funded, and the row says why.
A school that leaves returns to self-funded; what was sent stays with it.
2

A funding policy

Keep this school at fourteen days of runway, never more than a set amount a month. The sweep runs each night and tops the school up by exactly what its burn needs.

A shortfall is recorded and raised to head office with the school and the amount.
A school runs on its own wallet as before; the policy only decides when the group adds to it.
3

Every allocation

Each movement from the group wallet into a school, by policy or by hand, with the matching entry in the school’s own statement, which reads “From” the group.

Both wallets move in one transaction.
The group fee itself is per member school per month, charged to the group wallet a day at a time.

Common questions

What does a group with one school cost?+

Nothing. The group fee starts at the second member school, so a proprietor can form the group before the second campus opens.

Who pays for each school’s modules?+

Each school, from its own wallet, exactly as before it joined. The group fee is separate and charged to the group’s wallet. The group can fund any member school from its wallet if it chooses, and the school’s statement shows each top-up as coming from the group.

Can head office see our pupils’ names?+

Not on the estate or a school’s summary, which show figures and standing only. Head office handles a name only where the job needs one: the colleague or pupil it is moving between schools, and a family that applied to the group. Anything more means opening the school with an audited session, which the school sees in its activity feed.

Who owns the group?+

Whoever formed it, until they hand it on. Nobody at head office can remove the owner or change their role, only the owner appoints Group Executives, and the title moves only when the owner transfers it with their own password. EaseAcademia support can name an owner for a group that has none, and never takes a group from its owner.

Does joining a group change a school’s records?+

No. A school keeps every record it has. The group can apply a standard to it through the school’s own settings, and only in the mode the school was bound in.

Can a school leave?+

Yes, from its own settings, with a reason head office is shown. Group standards become the school’s own settings, any funding ends, and head office loses access at once. A move of a colleague or pupil that is part way through has to finish or be cancelled first.
